Position Overview

Primary Purpose of Position

Primary purpose of this position requires performing a variety of complex administrative and professional assistance work in planning, coordinating and managing the department’s timekeeping. This position serves as the primary timekeeper for the office. Applies various pay codes for regular, overtime, travel time, holiday, night and shift differential and leave categories. Ensures time keeping documents, pay codes and cost authorities are correct. Performs financial duties by processing invoices, deposits, and payments; providing assistance with the budget; coding invoices; preparing financial documents and billings; performing financial calculations; utilizing information extracted from financial databases; entering new customer and vendor information; and monitoring, accounts, and budgets. Process and perform HR related activities to include payroll and leave transactions, personnel transactions, employee file maintenance, benefits support, processing job transfers and/or accommodations due to work restrictions or disabilities. Provides excellent customer service support assisting employees with questions related to payroll deductions and other payroll matters.

Primary Function of Organizational Unit

The primary purpose of the Police & Public Safety department is to support the University’s core mission of teaching, research, and public service by providing comprehensive and professional public safety services as well as secure, convenient access to the NC A&T campus. The department protects and serves the University community by enforcing the laws of North Carolina, preserving and optimizing resources and by maintaining an environment that fosters education and community- oriented service.

Work Hours M-F 8 AM-5 PM; Weekends as necessary

Duties

Duties

Serves as the primary point of contact for employee payroll inquiries.
Provides excellent customer service support assisting employees with questions related to payroll deductions and other payroll matters.
Resolve issues using effective problem-solving skills and support employee satisfaction goals
Process payroll and ensure deadlines are met and payrolls and reports are produced accurately
Verify accuracy of payroll data entered and compare against input documents by partnering with Human Resources ensuring accuracy and minimizing miscalculations on employee paychecks.
Work on problems of diverse scope where analysis of data requires evaluation of identifiable factors. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.
Perform troubleshooting and intermediate analysis & research related to processing timekeeping records
Adhere to internal control processes when initiating, recording, summarizing and reporting payroll/leave transactions.
Escalates or transfers client issues to the appropriate department as necessary
Develop and recommend process improvements that leverage technology and maximize overall efficiency maintaining proper internal controls
Research issues as required for assigned task(s), resolve routine concerns and escalate necessary problems timely.

Required Competency Information/Records Administration
Duties

Establish and maintain complex filing systems, control records and indexes including personnel records, medical records, and personnel actions including new hires, terminations, promotions, and personnel rotations; monitor performance evaluation dates and provide appropriate forms to staff; maintain required documentation; provide notary public service for the department. Keep abreast of and participate in the processing of workers’ compensation claims, Family Medical Leave Act paperwork, extended leaves, and other leave request documentation in coordination with Human Resources and payroll; prepare and present reports.
